The off-the-shelf vs custom software decision trips up a lot of businesses. Off-the-shelf is cheaper and faster to start, so it usually wins by default, but the default is not always right. Here is how to decide deliberately.

When off-the-shelf is the right call

Your need is common and well-served by tools like accounting software, email, or a basic customer relationship management (CRM) system.
Your process can comfortably fit the tool's way of working.
You need something running today and the fit is "good enough."

If a product does the job and you can adapt to it, buy it. Building custom for a solved problem is rarely worth it.

When custom software wins

Your workflow is the thing that makes you competitive, and no tool matches it.
You are stitching together several tools with manual work in between.
You are paying rising per-seat fees for software you only half-use.
You need to own the system, the data, and the roadmap.

The hidden cost of forcing off-the-shelf

The real cost of off-the-shelf hides in the workarounds. When a tool almost fits, teams build spreadsheets, manual steps, and copy-paste routines around it. That hidden labour compounds, and it never appears on an invoice. Custom software often pays for itself by removing exactly that drag.

A simple way to decide

Ask three questions: Is this process core to how we compete? Does any existing tool genuinely fit it? What is the ongoing cost, in fees and in manual workarounds, of the off-the-shelf option? If the process is core, nothing fits, and the workarounds are piling up, custom is worth costing out.

Not sure which side you fall on?

Often the answer is a hybrid: off-the-shelf for the commodity parts, custom for the bit that matters. If you want help thinking it through, see how we approach custom software or talk it over with us.
